Section one

Booking & payments

Deposits, instalments, GST, TCS and what happens to your money between confirmation and departure.

A deposit of 25% of the package value confirms your booking, and we issue a written Booking Confirmation carrying a reference number within one working day of receiving it. The balance is due 21 days before departure. Until the deposit reaches our account, hotel blocks and airline holds are provisional and can lapse without notice, which is why peak-season quotations carry short validity.

NEFT, RTGS, UPI, net banking, and credit or debit cards, all to our declared company current account. Card payments run through RBI-authorised PCI-DSS gateways, so we never see or store your full card number. We will never ask you to transfer money to an individual's personal account, and nobody from 99Travels will ever request an OTP, a card CVV or a net-banking password — any such request is fraudulent and should be reported to us at once.

Yes. GST applies to tour packages under the Central Goods and Services Tax Act, 2017 and appears as a separate line on every invoice, with different treatment for domestic packages, outbound packages and standalone services such as visa handling. Your invoice shows the taxable value, the rate applied and our GSTIN, so nothing is buried inside the headline price. Corporate clients claiming input credit should give us the company GSTIN before the invoice is raised, because it cannot be added afterwards.

Tax Collected at Source under section 206C(1G) of the Income-tax Act, 1961 applies to overseas tour programme packages paid for under the RBI's Liberalised Remittance Scheme. We collect it at the applicable slab, deposit it against your PAN and issue Form 27D. It is not a fee we keep — you claim it as a credit in your income tax return, so for most travellers it is a cash-flow cost rather than a real one. Give us a valid PAN at booking, since a missing PAN attracts a higher rate.

Yes. The standard schedule is a 25% deposit with the balance 21 days before departure, and for bookings made more than 120 days ahead we will split that balance into two interest-free instalments. Some products need more money earlier because the supplier demands it — cruise cabins, chartered aircraft and hotels over Christmas, New Year or Diwali are the usual cases. Any deviation from the standard schedule is written on your invoice before you pay a rupee.

The first consultation, a destination shortlist and an outline itinerary are free. For genuinely complex bespoke journeys — multi-country routings, trips over three weeks, or itineraries needing deep original research — we charge a design retainer of ₹15,000, which is adjusted in full against your booking the moment you confirm. It stays with us only if you take the finished itinerary and book elsewhere, which is fair to the designer who built it.

We are IATA accredited, a TAAI member since 2013 and approved by the Ministry of Tourism, each of which requires financial standing checks and periodic review. Funds received against a confirmed booking are applied to that booking, and every payment is receipted with a GST invoice you can reconcile against your itinerary. Accreditation does not, however, cover your personal circumstances — that is what travel insurance is for, and it is mandatory on every international booking we operate.

Section two

Visas & documents

Timelines, passport rules, refusals, minors, insurance and forex — the paperwork that decides whether a trip happens at all.

It depends entirely on the mission, and published timelines are indicative rather than binding. Schengen applications typically run 15 to 25 working days and stretch beyond 40 in peak summer; UK standard service is around three weeks; US interview slots at Indian consulates can be months away; Japan is often 5 to 7 working days; UAE and Singapore e-visas usually clear in 3 to 5. Apply as early as the mission permits — Schengen now accepts applications up to six months before travel, and there is no advantage in waiting.

No, and no agency honestly can. A visa is granted or refused solely by the embassy, consulate or immigration authority concerned, on grounds it is not obliged to explain, and there is no appeal we can lodge on your behalf. Our 98.4% approval rate is a historical record of files we have handled, not a forecast for yours. Our fee buys professional preparation — correct category, complete documentation, a checked application and follow-up — and embassy fees are non-refundable whatever the decision.

The core set is consistent: a passport valid at least six months beyond your return with two blank facing pages, photographs to the mission's exact specification, confirmed flight and hotel bookings, six months of bank statements showing a healthy closing balance, the last three salary slips or income tax returns, an employment and leave letter or business registration proof, and travel insurance. Missions then add their own requirements — an invitation letter, a cover letter explaining your itinerary, a notarised affidavit for minors, or proof of property in India. We send you a destination-specific checklist so nothing arrives late.

Most countries require your passport to be valid for at least six months beyond your date of return, with a minimum of two blank facing pages for stamps and visa labels. The Schengen area works differently: validity of at least three months beyond your intended departure from the area, and the passport must have been issued within the previous ten years. A torn, water-affected or otherwise damaged passport is routinely refused at immigration even when the validity is fine. If yours has under eight months left, renew it before you book anything.

We share the refusal grounds wherever the mission states them and give you an honest view on whether a fresh application with strengthened documentation makes sense, or whether an appeal or a change of destination is wiser. Embassy fees, biometric charges and courier costs are paid to the mission and never refund. A refusal does not pause our cancellation tiers, so the charges applicable on that date still apply — this is precisely the risk that trip cancellation insurance absorbs, provided the policy was bought before the refusal.

Every minor needs their own passport; children can no longer travel on a parent's. Where a child travels with only one parent, a grandparent or a school group, most missions and many immigration authorities require a notarised consent affidavit from the absent parent or parents, copies of their passports, and the child's birth certificate showing both parents' names. Carry the birth certificate on the trip regardless, because several countries ask for it at the border to deter child trafficking. For divorced or separated parents, custody documentation is usually required as well.

Yes — it is mandatory on every international booking we operate, and the Schengen area requires a minimum of €30,000 medical cover as a condition of the visa. Look for medical treatment and hospitalisation abroad, emergency evacuation and repatriation, trip cancellation and curtailment, baggage and personal documents, and an explicit adventure rider if your itinerary includes trekking above 3,000 metres, scuba diving, skiing or rafting, all of which are excluded as standard. Declare pre-existing medical conditions honestly, because an undeclared condition is the single most common reason a claim abroad is rejected.

Under the Liberalised Remittance Scheme a resident individual may remit up to USD 250,000 per financial year for all permissible purposes including travel, which is far above what a normal holiday needs. In practice, carry roughly 30% as cash for tips, taxis, small vendors and rural markets, and load the rest onto a multi-currency forex card, which locks your rate and avoids the mark-ups credit cards apply overseas. Always decline the offer to pay in rupees on a foreign card machine — dynamic currency conversion typically costs 3 to 6% more. Keep the currency declaration form if you carry cash above the notified threshold.

Section three

Flights & hotels

What is included, what star ratings really mean, what happens when an airline lets you down, and how we handle food.

Only when the inclusions list on your quotation says so. Package prices are quoted land-only by default, because holding an airfare and holding a hotel rate work completely differently — hotel rates hold for days, airfares can change within hours. We book flights as a separate, clearly costed line at the live fare on the day, and we will always show you two or three routing options with honest notes on layover length and airport transfers.

For flights within India the airline's obligations are set by the DGCA's Civil Aviation Requirement, Section 3, Series M — meals and refreshments, hotel accommodation and rebooking or a full refund depending on the length of the delay, plus compensation where a cancellation is not notified with adequate notice. International carriers apply their own conditions of carriage and, in Europe, local passenger rights rules. Our job is to rebook you and reflow every ground arrangement, transfer and hotel night behind the disruption, which we do from the duty desk while you are still at the airport. Costs falling outside the airline's duty are an insurance claim.

Always. We propose two or three properties per city at different price points with candid notes on location, noise, walkability and breakfast quality, and you pick. If you want a specific hotel we will book it even when it is not one we would have chosen, and say so politely. Upgrades are priced at the genuine rate difference with no mark-up on the delta, and if you hold loyalty status with a chain, tell us so we book through a channel that recognises it.

Less than travellers assume. Star ratings follow local classification systems, so a four-star in Hanoi, Zurich and Udaipur are three quite different experiences, and some superb boutique properties carry no rating at all. We therefore describe each hotel in plain language — how many minutes' walk from what, approximate room size, whether breakfast is included, whether there is a lift, how quiet the street is at night. That written description on your voucher is the commitment we stand behind, not the star count.

Check-in is typically 2:00 to 3:00 PM and check-out 11:00 AM to 12:00 noon worldwide. An overnight flight landing at 5:00 AM does not give you a room at 5:00 AM — to guarantee one you need the previous night booked, and we price that extra night openly rather than letting you discover the problem in a hotel lobby. Early check-in and late check-out are requests the hotel may grant free, may charge for, or may refuse depending on the night's occupancy, and we never present them as confirmed.

Yes — IRCTC rail bookings subject to quota availability, internal flights, and premium trains such as the Deccan Odyssey and Palace on Wheels. Indian rail is the one element we cannot fully control: reservations open 60 days ahead, popular sectors go to waitlist within minutes, and Tatkal releases only one day before travel. Where a sector is chronically waitlisted we will tell you honestly that flying or driving is the safer plan rather than sell you a hopeful ticket.

Yes, when you tell us at booking rather than at the table. Jain, satvik, vegan, gluten-free, halal, kosher and specific allergies are briefed to every hotel, restaurant and ground handler in advance, and your trip pack carries a card explaining the requirement in the local language, which is far more effective abroad than explaining it in English. Airline special meals must be requested at least 24 to 48 hours before departure and cannot be added at the gate. Where a remote lodge genuinely cannot meet a requirement we tell you before you book, not after you arrive.

Section four

On-trip support

Who answers at 3 AM, how we design for solo travellers and reduced mobility, and what to do when something goes badly wrong.

Page one of your trip pack lists escalation contacts, the local emergency number, your insurer's assistance line and the nearest Indian mission. You never have to explain your booking from scratch to a stranger.

Tell us immediately in the trip WhatsApp group — not when you get home. A room that is not what was promised, a guide who fails to appear or a vehicle that is unsuitable can almost always be fixed within a few hours while you are there, and almost never fixed retrospectively. Also raise it with the supplier at the time and keep whatever reference they give you. If it remains unresolved, write to us within 30 days of returning and we will respond substantively within 21 working days.

We operate a large number of solo journeys and we design them differently rather than simply selling the same itinerary to one person. That means arrivals scheduled in daylight, verified female drivers and guides where requested, hotels chosen for a lit, walkable, properly staffed lobby rather than for the lowest rate, airport pickups by a named driver whose photo and vehicle number reach you in advance, and a simple check-in protocol where you message the group on arrival in each new city. We also give honest area-level advice, including where we would not walk after dark, because vague reassurance helps nobody.

Yes, with notice — please raise it at the enquiry stage rather than after booking. We verify step-free access, lift dimensions, bathroom grab rails and roll-in showers directly with the property instead of trusting a listing checkbox, book vehicles with ramp or swivel-seat access, arrange wheelchair assistance at every airport in the routing, and deliberately reduce the daily pace and the number of sites. Some heritage locations — hill forts, stepwells, older temple complexes — genuinely cannot be made accessible, and we say so upfront and design around them.

Call our duty line and your insurer's 24-hour assistance number, which is printed on the policy card in your trip pack. We help locate a hospital that will direct-bill your insurer rather than demand cash upfront, arrange interpretation and transfers, keep your family informed, and coordinate with the nearest Indian mission if documents are lost in the process. Keep every prescription, invoice and discharge summary — insurers reimburse against documentation, and a claim without paperwork is very hard to win.

Report the loss to the local police first and obtain a written report, because no mission will act without it. Then contact the nearest Indian Embassy or High Commission for an Emergency Certificate to travel home, or a replacement passport if you have time. The single thing that halves the process is preparation: carry a photocopy and a phone scan of your passport stored separately from the original, plus two spare photographs. We hold your details on file and can resend copies of your documents within minutes of your call.

Section five

Cancellations & refunds

The tiers, the timelines, and an honest explanation of why a refund is rarely the full amount.

Cancellations must reach us in writing by email and are dated by the day that email arrives; a phone call alone does not cancel a booking. Charges on package value are: more than 45 days before departure, 10% or the deposit if lower; 45 to 31 days, 25%; 30 to 16 days, 50%; 15 to 8 days, 75%; and 7 days or fewer, no-show or abandonment mid-trip, 100%. Issued air tickets, visa fees and non-refundable supplier products sit outside these tiers and follow their own rules. The complete text is on our Terms & Conditions page.

Because most of your money is no longer with us. An issued air ticket refunds only what the airline's fare rules permit, which on promotional and low-cost fares is often nothing beyond statutory taxes; visa fees are consumed the moment the application is lodged; and non-refundable hotel rates, cruise cabins and chartered arrangements carry the supplier's own penalty schedule, disclosed on your invoice at booking. We itemise exactly who kept what and show you the supplier's own cancellation advice on request, because guessing is worse than knowing.

Ten working days to the original instrument of payment for any amount we hold ourselves. Where a supplier must refund us first the wait is theirs, not ours — airline refunds commonly take 45 to 90 days and consolidator refunds can take longer — and we pass the money on within 7 working days of it landing. We will share the supplier's acknowledgement so you can see the claim is genuinely lodged. GST already remitted is refunded only to the extent the law lets us reclaim it, and TCS is recovered by you through your income tax return.

Usually yes, and it is nearly always cheaper than cancelling. Requested more than 30 days before departure, an amendment costs a ₹2,500 administration fee per booking plus whatever the suppliers charge, which for land arrangements outside peak season is often nothing. Inside 30 days an amendment is treated as a cancellation and a fresh booking, so the tiers apply. Issued air tickets follow their own change-fee-plus-fare-difference rules regardless of how far ahead you ask.

That is force majeure, and neither party is at fault. We pursue every supplier for whatever they will release and pass on all of it, including credit notes where a supplier offers paper rather than cash, but we cannot refund money that airlines, hotels and ground operators have already kept. Costs of an extended stay, quarantine accommodation, rebooked flights or repatriation sit with the traveller and are the classic case a comprehensive insurance policy is designed to meet — another reason we insist on cover before departure.

For a significant change — a change of destination, fewer nights, a downgrade in hotel category, or a departure date moving by more than 24 hours — you may accept the change, take an alternative journey of comparable standard with any price difference settled in either direction, or cancel and receive a full refund of everything you have paid us. Group departures that require a minimum number of travellers are either confirmed or released at least 30 days before departure, so you are never left guessing in the final fortnight.

Section six

Custom trips

How a bespoke itinerary is designed, how early to start, what it costs, and how we handle families, groups and corporate travel.

In five stages, with one designer owning your file from start to finish. First a 45-minute conversation about how you travel — pace, early mornings or slow breakfasts, museums or markets, what a bad day looks like for you — not just where you want to go. Then a destination and routing shortlist with honest seasonality notes, including where we would advise against your chosen month. Then a fully costed day-by-day draft within three to five working days, two rounds of revisions at no charge, and finally confirmation, supplier vouchers and a printed trip pack delivered seven days before departure.

For a domestic journey, six to eight weeks is comfortable. For international travel, three to four months. For peak windows — Christmas and New Year, Diwali, Japan's cherry blossom, European summer, East African safari high season — six to nine months, because the best lodges and guides are booked out a year ahead. Visa-heavy multi-country routings need four months minimum simply to clear the appointments. We will still take a request three weeks out, but the choice narrows sharply and we will tell you exactly what you are giving up.

Bespoke domestic journeys start at roughly ₹18,000 per person per day at our comfort tier, covering accommodation, transport, guiding and most meals. International bespoke travel starts at roughly ₹22,000 per person per day excluding international flights, varying widely by region — Southeast Asia sits at the lower end, Western Europe and Japan considerably higher. Below those levels a well-curated group departure genuinely serves you better than a thin bespoke itinerary, and we will say so rather than take the booking.

Yes — three-generation journeys are among the most requested trips we design, and they need a different method. We plan around the slowest walker rather than the fastest, split the middle of the day so grandparents can rest while teenagers do something active, book connecting or same-floor rooms rather than scattering a family across a hotel, brief kitchens on both grandparents' dietary needs and children's meal timings, and always build in a genuinely empty day. Groups above 20 travellers get a dedicated coordinator and a consolidated single invoice.

That covers venue sourcing and site inspection, negotiated room blocks with sensible release dates, meeting space and AV, group air with name-change flexibility where fares permit, ground logistics, team activities that people actually enjoy, and a single consolidated GST invoice so your finance team can claim input credit cleanly. Groups above 40 travellers get an on-site 99Travels coordinator for the duration, and we run a post-event reconciliation so you can see exactly where the budget went.

Always. You receive a complete costed day-by-day itinerary with named hotels, room categories, stated inclusions and an explicit exclusions list before any money moves. Two rounds of revisions are free, and most travellers use both. We do not ask for a deposit until you have read the document, asked your questions and told us it is right — a booking made before the traveller has read the itinerary is a complaint waiting to happen.
